Requests for Key
KEY CONTROL PROCEDURES
Key control is the responsibility of the HSU Physical Plant. Procedures are designed to help ensure the security of campus buildings and contents. Policies and procedures are approved by the HSU Administration.
All requests for keys are to be submitted to the Physical Plant by an authorized user via the KEYS option of the Alpha FAC menu.
KEY REQUESTS
After a key request has been submitted, the immediate supervisor must approve the request.
After approval, the request will print at the Physical Plant office.
An email notification will be sent when the key request is complete and ready for pick up at the Phyiscal Plant office.
Authorized users in each department will be responsible for ALL key transactions.
All key transactions must be made by computer and will be stored in a computer based key record system under the name of the person to whom the key is assigned.
Employees who are authorized to use the KEYS system will be responsible for keeping accurate key records for all adjunct faculty or graduate assistants or other employees not classified as full time. Keys are to be signed for and returned to the appropriate secretary at the end of each academic semester.

All full time faculty or staff will be responsible for signing for their own keys.
All keys must be returned to Human Resources during the exit interview upon leaving Henderson State University. Keys that are not returned will be the responsiblity of the employee; charges may be assessed for missing keys.
The charge for a Room Key is $2.50 and a Master Key is $5.00.
Requesting a building master key will require an additional approval and could take additional time for completion.
KEY TRANSFER
Upon transferring to another area of campus, employees must return any key(s) back to the Physical Plant office in order for their name to be cleared from that key.
INTEROFFICE KEY TRANSFER
Interoffice transferring of HSU keys will be permitted. Visit with your departmental secretary to follow the proper procedures and paper work.
KEY RETURNS
Upon separation from Henderson State University, employees must turn all key(s) into the Human Resource office during their exit interview. Transferring of HSU keys will not be permitted from an employee leaving to a department chair.
Proper procedure must be followed, to insure the employee leaving will not be charged for keys.
