Thank you for choosing Aramark® Classic Fare Catering, Henderson State University's contracted food service. We are dedicated to creating your special event. Aramark® Classic Fare Catering provides a complete range of catering services for both on and off campus events. We will work with your budget to assist you in planning your event. Aramark® Classic Fare Catering can easily accommodate groups from 4 to 400, and arrangements can also be made for larger groups--either in Arkadelphia or out of town. Aramark® Classic Fare Catering can provide everything, from donuts to formal dinners. In addition to food and beverages, we can provide wait staff, serving equipment, linens, china, silverware, and glassware for events. Theme event planning is available as well.

ARAMARK® CLASSIC FARE CATERING GUIDELINES
ARAMARK®, Inc. cordially invites you to dine with us. Arrangements for use of Henderson State University campus facilities may be made through the Information Office in the Garrison Center (870-230-5228). Aramark® Classic Fare Catering is not responsible for campus reservations. Reservations must be made with HSU before contactingAramark® Classic Fare Catering.
ARAMARK® Classic Fare Catering must be contacted for base planning (menus, numbers, date, and times) at least 5 business days prior to your event with a minimum of 3 business days for finalization. Aramark® cannot guarantee service will be available if contacted less than 3 business days prior to your event. Please call us at (870) 230-5243. Our mailing address is 1100 Henderson Street, HSU Box 7592, Arkadelphia, AR 71999-0001, and our office is located in the Garrison Center (second floor, next to the Banquet Room) on the Henderson State University Campus. Certain events may require a 50% deposit. Deposit (if required) and final guest number counts are due 3 business days prior to your event. You will be charged for the guaranteed number of guests or actual attendance, whichever is greater. If a guaranteed number of guestsisnot provided 3 business days before your event, your last estimate will be used as your guaranteed number. In the event that additional unexpected guests (not included in the guaranteed number) attend your event, payment for additional guests must be submitted to Aramark within ten days of the event. (See billing and payment information provided below.)
Aramark® will provide 5% more servings than your guaranteed number to allow for any last minute additions. Despite our stated time frames, you should notify Aramark® if you have any changes in the number of guest no matter how close it is to the event. Aramark® will make every effort to accommodate you. There will be no liability for events serving less than 150 that are canceled 72 hours before an event except for specialty items that have been ordered. For events canceled 72 hours in advance serving 150 or more, charges will be based on the cost involved at the time of cancellation. Events scheduled on holidays or during seasonal shut downs will be billed appropriate additional labor charges. In addition, events beginning before 6:00 a.m. or after 9:00 p.m. may be charged additional labor charges. Prices listed in this guide are subject to applicable state and local taxes. Any event beginning later than 30 minutes past the prearranged serving time may be subject to an additional labor charge of $50.00 per half hour plus $10.00 per hour/per waitstaff according to the number of waitstaff scheduled.
Extra food will be prepared to service your event, and all leftovers of entrées, vegetables, starches, salads, beverages, or desserts, will remain the property ofAramark®. Certain items, such as cookies, may be taken; however, Aramark® cannot be responsible for providing containers or wrap to facilitate their removal. Contracted food is for one event only. Leftovers cannot be “held over” for another time. Food that is requested to be moved to another location will be charged a minimum of $50.00 depending on the extent of the move. New setup will not include a second full setup, and for safety reasons, certain items will not be allowed to be moved.
PLEASE NOTE:
(1) All buffets and served meals include one entrée and one serving of each additional item offered with the meal per person and are priced per person. If you feel that your group may require additional entrée portions, we suggest that you order adequate additional entrée servings to ensure that everyone is served. You will be charged accordingly when adding additional items to your order.
Example for planning purposes: If you are serving Lemon Pepper Chicken as your entrée for a group of 30 guests, Aramark will prepare 33 chicken breast for your event. This number includes the extra 5% more than your guaranteed number.
(2) Aramark provides extra food (5% above the guaranteed number) for every event and recommends that extra seating be provided for each event to accommodate unexpected guests.
Buffet style setups include:
- drink station (iced tea, water, and coffee)
- dessert station
- salad of choice on buffet line
- rolled silverware
Served style setups include:
- preset drinks (iced tea, water, and coffee)
- preset silverware
- preset desserts
- preset salads
I. On Campus Service and Billing
A. HSU’s Purchasing Office is the sole purchasing authority for the university. Purchases not approved by this authority are not legal obligations of the university. Any individual of the university making a purchase without first obtaining proper authority is assuming a personal obligation to ARAMARK® Inc. for which they will be held personally liable.
B. ARAMARK® Inc. is unable to cater any event without a purchase order if the event requires one. Purchase Order Number(s) must be provided at the time an event is booked. Aramark will not service events to be paid by university funds if a purchase order number has not been provided.
C. Events to be paid by non-university funds (student groups, off-campus groups or individuals) will require payment of a 50% deposit at the time the event is booked, and the remaining 50% balance must be paid in full at least one business day before the date the event is scheduled. In the event that additional unexpected guests (not included in the guaranteed number) attend your event, payment for additional guests must be submitted to Aramark within ten days of the event. Payment may be made by MasterCard, Visa, or Discover credit card, as well as by cash or check.
D. Except where china service is indicated in this guide, a $1.00 per person charge for china service will be added to events requesting china that are scheduled outside the Garrison Activity and Conference Center or the Caddo Cafeteria. Receptions and Breaks are priced to include condiments and disposable serviceware (plastic plates, cups and utensils).
E. When appropriate, ARAMARK® may recommend waitstaff to ensure quality service and presentation for your event. Waitstaff is available at $10.00 per hour/per waitstaff with a minimum of one hour.
II. Off Campus Service and Billing

D. Off-Campus Served and Buffet Meals
-- Luncheons and dinners are priced with disposable serviceware.
-- Add $1.00 per person for china service.
-- Delivery $20.00 plus mileage if out of 2-mile radius.
E. Off Campus Breaks and Receptions:
-- All receptions and breaks are priced to include disposable serviceware.
-- Add $1.00 per person if china is preferred.
-- All receptions and breaks will have a delivery charge of $15.00
plus mileage if out of 2-mile radius.
-- A waitstaff is not included. It is recommended that groups over
50 people have wait staff present for service and presentation.
Waitstaff is available at $10.00 per person per hour with a minimum
of two hours.
