Google Migration FAQ

Why are we making this change?

Our current mail system, Microsoft Exchange, is considered End-of-life and will no longer be supported in the near future.  Based on the options available and features included, Google is the most economical and feature-full product we can use.

What will happen to all of my mail?

Computer Services will work with each department to migrate all mail items to Google.  All inbox, sent items, and folders will be migrated (including personal folder PSTs). You will then be able to check past and present email by logging into the mail.google.com page.

Will Calendars change?

As departments migrate, the calendar structure will change and permissions will be managed by your department head.  Like email, the calendars will be cloud-based and can be accessed from anywhere with an Internet connection.

Will my email address change?

No, you will still receive email at your current email address; however, we do have plans to create an ‘alias’ for you that will be firstname.lastname@hsu.edu.  There will be more information about this as we move forward with the migration process

What is my username and password?

Once CCS has scheduled with your department on a migration date, you will be able to log in to myaccount.google.com using your @hsu.edu email address and your network password.  This is the same password you use to log on to your on-campus computer every day, and the password you use to check your email from the web.

Will my signatures and rules carry over?

Unfortunately, signatures and rules will not carry over to the new system and will have to be recreated.  When your department migrates, CCS will release information on how to set these up again.

Will Google Mail work on my smartphone?

Yes!  Google mail will work on the native iOS Mail app, the native Android Mail app, and the Gmail app on both platforms.  Setup is as easy as logging in to your account.

What are the benefits of using Google Mail?

Going Google means we get to take advantage of unlimited email storage and file storage space within Google Drive. Additionally, you will be able to access your Google Drive documents from anywhere with an Internet connection

I’m missing some large attachments that were in Exchange.  Where did they go?

Google allows attachments up to 25MB in size.  If you have emails with larger files attached, they will not have migrated.   Please save any large attachments to your computer or network drive before migration.
